General settings

In the "General Settings" section, it is necessary to set up basic information about the company and data for creating a calculation.

Fields in the General Settings section:

• Company Name

  • Required field

  • The user enters the name of the company for which the setting is created

• Offer validity in days

  • Required field

  • The user enters the number of days, which is then added to the Calculation Creation Date in the calculation. After this time, the offer is invalid (a task is running in the background that invalidates the calculation) and it is not possible to work with it further, but it is possible to trace it until the archiving period.

• Archiving an offer

  • Required field

  • The user enters the number of days, which is then added to the Calculation Creation Date in the calculation. (there is a task running in the background that archives the calculation)– find out how often and how the batch is running in the background

  • Once a calculation is switched to the Archived status, it is no longer visible in the list of calculations.

• Rounding

  • Required field

  • Values:

    • Integers

    • 1 decimal place

    • 2 decimal places

  • According to the value of this field, all Calculated amounts in the calculation (E.g. if I have set "Integers" but an amount with decimal places is entered, the system will not overwrite this amount)

  • ATTENTION: the discount in % per car is not rounded according to the settings, but only the number is trimmed according to the settings if a value is entered in the Discount Incl. VAT field

Fields in the Offer Numbering section:

The number of each offer consists of a prefix and a number.

• Prefix

  • Required field

  • The value that will be entered in this field will be the starting point of each created calculation

• No. Series

  • Required field

  • An initial number will be entered here, which will mark the first created calculation. Each subsequent calculation will be marked with the value in the "Prefix" field + the current value in this field ("Number series"). Subsequently, the system adds the number 1 to the existing value in this field and inserts it into this field.

  • E.g. Prefix = KR5, Number Series = 000457 => New calculation is marked KR5000457. Subsequently, the system inserts one higher value into this field, i.e. Number Series = 000458

Fields in the VAT section:

• VAT Rate for Insurance

  • Required field

  • The user enters a numerical value for the VAT rate as a percentage

  • This rate applies to all types of insurance

• VAT Rate for Annuity

  • Required field

  • The user enters a numerical value for the VAT rate as a percentage

• VAT Rate for Services

  • Required field

  • The user enters a numerical value for the VAT rate as a percentage

  • This rate applies to all kinds of services

• VAT Rate for Object

  • Required field

  • The user enters a numerical value for the VAT rate as a percentage

  • This rate applies to the price of the item and its equipment (optional, additional) and discounts

Fields in the Insurance Total section:

It is necessary to choose the value from which the insurance will be calculated in the calculation. You can choose one of the following options:

• Total Price Excl. VAT To Calculation

  • If this option is selected, then the sum insured is calculated from the Total Price without VAT (incl. equipment) already after Discount

  • The option is used by CZ countries

• Vehicle price incl. VAT (incl. equipment and before discount)

  • If this option is selected, then the sum insured is calculated from the Total Price with VAT (incl. equipment) before Discount

  • The option is used by SK země

Fields in the Tyres section:

• Lifespan of winter

  • Required field

  • The user enters the service life of the winter tires in KM.

  • The value of the field enters the calculation of the Tire service

• Lifespan of summer

  • Required field

  • The user enters the service life of summer tires in KM.

  • The value of the field enters the calculation of the Tire service

• Number of months per year in which summer tyres are used

  • Required field

  • The value of the field enters the calculation of the Tire service

• Winter Season Start Day

  • Required field

  • User enters the day (numeric value from the date) of the start of the winter season

  • The value of the field enters the calculation of the Tire Change service

• Winter Season Start Month

  • Required field

  • User enters the month (numeric value from the date) of the start of the winter season

  • The value of the field enters the calculation of the Tire Change service

• Winter Season End Day

  • Required field

  • The user enters the day (numeric value from the date) of the end of the winter season

  • The value of the field enters the calculation of the Tire Change service

• Winter Season End Month

  • Required field

  • User enters the month (numeric value from the date) of the end of the winter season

  • The value of the field enters the calculation of the Tire Change service

Fields in the Restrictions section for mileage and duration of financing:

• Min. Rental Period

  • Required field

  • The user enters the minimum duration of the contract in months

  • Subsequently, it is not possible to enter a lower financing period in the calculation

• Max. Rental Period

  • Required field

  • The user enters the maximum duration of the contract in months

  • Subsequently, it is not possible to enter a higher financing period in the calculation

• Min. contractual mileage

  • Required field

  • The user enters the minimum contractual mileage in KM (for the duration of the contract)

  • Subsequently, it is not possible to enter a lower contractual mileage in the calculation

• Max. contractual mileage

  • Required field

  • The user enters the maximum contractual mileage in KM (for the duration of the contract)

  • Subsequently, it is not possible to enter a higher contractual mileage in the calculation

Fields in the SMTP section:

In this section, you need to enter technical data related to the administration of the server

• SMTP server

  • Required field

• SMTP server port

  • Required field

• Prescribed e-mail address for outgoing notifications

  • Required field

• User account

  • Required field

• Password

  • Required field

• Enable SSL

  • Required field

Fields in the Localization section:

• Currency

  • Required field

  • The user selects the currency in which all amounts are entered and calculated, both in the price lists and in the calculation itself

  • The system also displays this currency for the amounts in the price lists and calculations

  • Possibilities:

    • CZK

    • EUR

    • HUF

    • BGN

• Language

  • Required field

  • The user selects the language into which the system field names are translated. This is the default value. Each user can then change the language in their profile.

  • Possibilities:

    • Czech

    • Slovak

    • Česky

    • Bulgarian

    • Deutsch

    • Magyar

Fields in the GDPR section:

• Number of days for anonymization

  • Required field

  • The user enters the number of days, which is then added to the Calculation Creation Date in the calculation. After this period, the offer will be anonymized.

  • The anonymization task takes place on a daily basis

• String for anonymization

  • Required field

  • User enters a text/numeric string

  • After the anonymization period has elapsed, the system anonymizes the field

    • Company Name

    • Email

    • Phone

  • inserts the value of this field into the "Customer" field, which is composed of fields in the calculation

If anything has been changed in this part of the MENU, then it is necessary to confirm the changes at the end of the page via the "Save settings" button. If the user just navigates to another part of the MENU, then the changes will not be saved.
